Role description:
The Workplace team ensures that all our offices provide a welcoming physical space to meet, connect, and collaborate with each other and our clients and meet our responsibilities for Health, safety, and sustainability.
This role supports the Workplace team, which is accountable for the Workplace services provided in all Netherlands offices. This role will include providing contract, finance, project, and on-site support where required.
This role is located in our global HQ in Amsterdam, but the NL Workplace Team is working on a portfolio of offices throughout the country.
The Workplace Operations Coordinator - Netherlands, reports to the Netherlands Workplace Operations Contract Manager
Role accountabilities:
GENERAL Key Accountabilities:
- Support the Workplace Operations Contracts Manager for the Arcadis office cluster in the Netherlands, to deliver an efficient and high-quality service to all stakeholders/employees, and (their) guests.
- Responsible for coordinating workplace supplier and location information, for all Netherlands offices to ensure all relevant standards and KPI’s are met.
- Responsible for raising workplace purchase orders, approving invoices and monitoring costs, and reporting any concerns.
- Supporting the delivery of Workplace Operations project coordination.
- Responsible for delivery of any delegated SHEQ actions to ensure agreed Workplace Health and Safety and Sustainability responsibilities are met, including periodic compliance checks.
- Supporting the external workplace contractor and local teams in the smooth operation of the global HQ office in Amsterdam including meeting room and event management and collaboration with the Office Director and CDO EA.
- Support Workplace communications and Intranet sites in close collaboration with the marketing and communication team.
- Active role in on and offboarding of employees (based in global HQ), including coordinating logistics around the process.
- Active role in office engagement, and coordinating events. Supporting communication for office-related matters.
TACTICAL Key Accountabilities:
- Responsible for escalating issues that need additional stakeholder involvement and monitoring progress and swift resolution.
- Be in direct contact with the local “Huismeester” to monitor activities and provide an escalation path.
Key Shared Accountabilities:
- Delivering the Workplace Promise consistently within the portfolio, in collaboration with our other offices in The Netherlands.
- Assistance in delivering agreed objectives, and modifying/improving support office protocols specific to the Global Workplace
- Initiating of improving office protocols & Processes.
Decision Rights:
Owns: The Workplace operational management for the global HQ office in Amsterdam
Influences: The daily operations and continuous improvement of Workplace Operations in the Netherlands
Vetoes: A support mechanism that does not align with the Workplace Promise or deliver value
Qualifications & Experience:
An individual with strong organizational skills and customer service experience.
- Experience in Workplace Operations and/or Facilities Management.
- A focus on customer service and the ability to communicate with a variety of stakeholders, including a C-level support team.
- Self-starter, solution mindset
- Ability to prioritize and deal with Ad-hoc requests
- Experience in maintaining information and planning and coordinating activities.
- Managing the delivery of services by outsourced suppliers
- Experienced in Workplace Budget management and finance processes.
- Project- and/or event management
