Multicraft is op zoek naar een Project Administrator voor in de regio Zaandam Het betreft een Engelse functie, daarom zal de vacature tekst in het Engels weergeven worden. Project Administrator is responsible for coordinating and executing administrative tasks to ensure smooth operations. Tasks include document management, communication facilitation, scheduling meetings and assisting with action lists from different meetings. In addition, the project administrator support in the procure-to-pay process by creating purchase requests in the system, booking in goods receipts and providing general support with dashboards, documents, reports and presentations. Main Accountabilities (List 6-8 major areas of responsibilities in order of importance, and purpose of these activities:
  • Maintain and update project documentation, files and records.
  • Support the procure-to-pay process by creating purchase requisitions and purchase orders in the system and follow it up
  • Assist management in reporting weekly and monthly progress.
  • Assist with Budget management and expense tracking
  • Assist with setting up meetings with multiple stakeholders
  • Support with organizing events and meetings
  • Provide general administrative support to the Project team and contribute to the overall efficiency of the  project activities.
  • Prepare and share templates for project use.
  • Facilitate communication between project team members and stakeholders.
  • Support actions as per agreed workflows
  • Handle ad-hoc admin tasks initiated by Project management
  • Arrange travel and accommodations for project team members as needed.
  • Participate in departmental initiatives.
  • Assist in the analysis of data, providing summaries as needed
  • Order and maintain office supplies.

Functie eisen

  • Flexibility to achieve project goals
  • Ability to work to tight deadlines and within pre-determined guidelines such as key reference documents, templates and processes
  • Microsoft Office skills (WORD, Excel, PowerPoint, Outlook)
  • Fluent in English
  • Associate degree in business, management, administration or a related field
  • A minimum of 5 years of experience in a related role in a large-scale (industrial) project
  • Proven experience in project administration, preferably in the construction industry
